This position is assigned to the Imaging Service. The Medical Support Assistant has primary responsibility for workload flow coming into the department, i.e. receiving patients into the clinical areas, scheduling of appointments, responding to incoming phones calls, etc. Responsibilities include understanding various software types to improve office efficiency and effectiveness. Planning, integrating, execution of various software packages is also required. Thorough knowledge of procedures for receiving and following through on patient requests, obtaining and reviewing patients' medical records; scheduling patient appointments and giving preparatory instructions to patients for a variety of imaging procedures; and recording, reporting and filing medical information; to relate clerical functions of the clinic to the total patient treatment process. Schedules and performs preparatory administrative tasks for IVP examinations which include preparing requisition the day prior to occurrence and performing electronic processes associated with the visit. Follows up on no-show Imaging appointments by sending appropriate letters, suspending and or canceling appointments if necessary. This position has direct patient contact as an assistant to the department. Incumbent receives patients either in person or over the telephone. Receives and processes inquires and independently responds to a variety of medical, personnel, and administrative matters. The position also involves use of computer software to process patient's Imaging request, enter and verify data, report patient data and request records or test results. Recognizes and refers urgent inquiries to professional staff for immediate action. Performs administrative duties in support of the care and treatment given to patients such as receiving patients, scheduling patients for exams, issuing instructions depending upon the exam ordered, preparation of daily and following work day Imaging requests, which includes preliminary review of appropriateness of clinical history with imaging procedure requested. Schedules appointments based upon doctor's orders, accepts cancellations, and reschedules appointments as necessary. Receives and documents calls regarding specific patient contacts in appropriate format. Assists with notification of patients' care provider of critical results noted during imaging reporting. Assists and professionally greets patients/visitors, and others requesting information, guidance or referral for special assistance. Incumbent independently responds to requests for information and resolves or assists in resolution of a variety of administrative inquires/complaints, routing calls/persons to appropriate staff members. Maintains a record of reports, which need follow-up action. Request patient's previous medical x-ray films from other sources as necessary and insures timely follow up. Maintains an ongoing film registry of all incoming/outgoing films requested by physicians, release of information, and other agencies. Submits appropriate requested outside films for comparative diagnosis. On a weekly basis (in absence of secretary), the incumbent informs the station Infection Control Nurse of all reports of infectious processes. Assists with monitoring and managing the Mammography clinics by coordinating the bi-monthly patient schedule. This includes creating mail merge for the clinic and contacting the patient. Reviews patient data prior to clinic by researching CPRS to determine that request is accurate and timely. Uses critical thinking to identify patient requests that are inappropriately scheduled and must be performed off site. Performs back-up duties to the Imaging Referral Coordinator. This includes imaging referrals to outside VA Medical Centers and local imaging facilities. Obtains necessary medical and administrative information pertinent to the referral. Must have an integral knowledge of the accepting facility's referral process and communicates frequestnly with other agencies. Assists with tracking all imaging referrals, ensuring thay are coordinated with patient's schedule to ensure a timely completion. This requires contacts either in person, telephone, or mail. Recevies results and is responsible for disseminating these results to the Care Provider. Assists Imaging Referral Coordinator will collecting tracking, compling and analyzing data relating to Imaging Referrals that is submitted to Imaging Supervisor.
