PRIMARY WORK ENVIRONMENT:
Office-Based: This position is primarily office-based at an assigned work site. May include minimal travel outside of the assigned work site.
GENERAL SUMMARY:
The Medical Receptionist is responsible for greeting and checking in members, scheduling and rescheduling appointments, and updating member information in the EHR. The Medical Receptionist plays a crucial role in creating a positive member experience, facilitatingmunication between members and healthcare providers and maintaining efficient office operations.
RESPONSIBILITIES:
Greeting Members and Visitors:
Wee Members and visitors to the medical facility in a friendly and professional manner, providing assistance and direction as needed, and ensuring a positive first impression.
Greeting members via phone and understanding their needs and requests for services.
Scheduling Appointments:
Schedule Member appointments, consultations, and follow-ups visits using electronic scheduling systems, coordinating with healthcare providers and Members to optimize appointment availability and minimize wait times.
Checking In/Managing Member Records:
Check in Members for appointments, verify insurance coverage, collect co-payments or payments for services rendered, and update Member information in electronic health records (EHR) systems accurately and efficiently.
Maintain accurate and up-to-date Member records, including demographic information, medical history, insurance details, and appointment schedules, ensuring confidentiality andpliance with HIPAA regulations
Managing Medical Forms and Documents:
Distribute and collect medical forms, consent forms, and Member information packets, ensuringpletion and accuracy, and assisting Members with filling out forms as needed.
Coordinating with Healthcare Providers:
Communicate effectively with healthcare providers, nurses, and other clinical staff to relay Member information, schedule appointments, coordinate referrals, and address Member concerns or requests.
Handling Member Inquiries and Concerns:
Respond to Member Inquiries, concerns, and requests for assistance, providing information, guidance, and assistance in a courteous and professional manner to ensure Member satisfaction and resolve issues promptly.
Answering Phone Calls:
Answer iing phone calls, screen and route calls to the appropriate department or staff member, take messages, and provide information to callers regarding appointment scheduling, clinic hours, and other inquiries.
Assisting with Administrative Tasks:
Perform various administrative tasks, such as filing paperwork, scanning documents, processing medical records requests, and coordinating referrals to specialists, to support office operations and ensure smooth workflow.
Maintaining Cleanliness and Orderliness:
Ensure the reception area, waiting room, and front desk area are clean,anized, and well-maintained at all times, removing clutter, replenishing supplies, and adhering to infection control protocols.
s maintenance needs for equipment, copiers, and other repairs.
Maintains an approved schedule, and acceptable level of attendance.
Other duties as they relate to the general nature of the position.
QUALIFICATIONS:
Minimum Education Required: High School Diploma or Equivalent
Minimum Experience Required: N/A
License Requirement: N/A
BH Level: N/A
REGULATORY:
Minimum 18 years of age.
Valid AZ DPS Level I finger clearance card (must maintain valid card throughout employment)
CPR, First Aid, AED certification, if required (must maintain throughout employment).
Initial current negative TB test result, if required (Employer provides)
PHYSICAL DEMANDS:
The conditions in are representative of those that must be met by an employee to successfully perform the essential functions of this job. Reasonable amodation may be made to enable individuals with disabilities to perform:
Sufficient physical ability and mobility to work in an office, school ormunity setting; to stand or sit for prolonged periods of time; to occasionally stoop, bend, kneel, crouch, reach, and twist: to lift, carry, push, and/or pull light to moderate amount of weight; to operate office equipment requiring repetitive hand movement and fine coordination including use of aputer keyboard or laptop; and to verballymunicate to exchange information. Ability to provide services in homes or locations in themunity which may not be adapted for accessibility.
