Gritman Medical Center is seeking a Patient Services Representative (PSR) to provide essential administrative and clerical support in a fast-paced healthcare setting. This role ensures smooth patient registration, appointment scheduling, and effective communication between healthcare providers, patients, pharmacies, and other medical offices. The PSR I is expected to maintain strict confidentiality in compliance with HIPAA regulations while delivering excellent customer service and professionalism in every interaction.

Key Responsibilities
  • Greet and assist patients and visitors in person and over the phone with professionalism and a positive attitude.
  • Monitor call queues and patient wait times, ensuring efficient service.
  • Maintain accurate patient accounts, process payments, and balance cash drawers.
  • Enter and verify insurance and patient information with a high level of accuracy.
  • Schedule patient appointments appropriately based on clinic protocols.
  • Assist with medical record requests and chart preparation.
  • Ensure the reception area remains clean, organized, and welcoming.
  • Uphold patient privacy and rights by maintaining strict confidentiality.
  • Respond to patient concerns or complaints professionally and efficiently.
Qualifications & Requirements
  • Education : No specific education required.
  • Experience :
    • Must have experience working with computers.
    • Knowledge of basic office functions, including message-taking, data entry, and cash handling.
    • Previous experience in a medical office is preferred.
  • Skills & Abilities :
    • Strong customer service, written, and verbal communication skills.
    • Ability to multitask in a fast-paced environment.
    • Proficiency in computer programs and multi-line phone systems.
    • Critical thinking and problem-solving skills with minimal supervision.
    • Demonstrated flexibility and ability to adapt to changing workflows.
Physical & Environmental Demands
  • Ability to sit, stand, bend, twist, and kneel throughout the day.
  • Requires occasional lifting (up to 35 lbs.), reaching, and pushing/pulling.
  • Frequent interaction with patients, staff, and visitors in a busy office environment.
  • Potential exposure to seasonal outdoor conditions and public health risks.
