Receptionist / Front Office Coordinator
Law Firm Bartow, FL (in-office)
Well-established Central Florida law firm practice handling family law, estate planning, and commercial litigation. Our front office is the first impression every client, attorney, and court contact has of the firm. We're looking for a dependable, warm, and detail-driven person to own that role.
Who you are
You're punctual and take pride in your work. You're people-oriented with a genuine ability to listen and put others at ease, whether you're speaking with a client facing a hard moment, a fellow professional, an attorney, or court and judicial staff. You present and speak professionally in person and on the phone, and you're comfortable adapting your communication to anyone, from someone with limited education to someone with an advanced degree.
What you'll do
Front office & client experience
Open and close the office each day; keep the front entrance, conference rooms, kitchen, and restrooms presentable and stocked
Answer and route incoming calls, address caller concerns, and take detailed messages, escalating to the right staff member when you can't resolve it directly
Calendaring & client communication
Prepare and send reminder letters and notices for upcoming proceedings
Verify that all events are docketed accurately across the Firm's calendar and the court's docket
Files & client intake
Open new client matters and set up files (digital and physical); run initial conflict checks; tab, index, and maintain new and existing files
Provide backup word processing and general file management as needed
Billing support
Process incoming payments, generate client statements and reminder notices, and make courteous follow-up calls on past-due accounts
Office operations
Order and inventory office supplies firm-wide (including attorney workstations) so nothing runs out
Support the attorneys on firm projects, including community and charitable events
Helpful experience (not required)
Prior law firm or professional office experience; familiarity with practice-management or billing software (we use Clio and PCLAW); comfort with email, calendars, and basic office tech.
Schedule: Full-time, on-site, MondayFriday.
Compensation: Commensurate with experience; + [benefits health, PTO, etc. after probationary period]
