JOB SUMMARY:

Tracks, manages, and maintains physician orders and related medical documentation to ensure timely completion, compliance with regulatory and payer requirements, and uninterrupted billing and reimbursement for the Agency's home health patients.

KEY RESPONSIBILITIES:

Tracks all physician orders including new, revised, and verbal orders from initiation through signed return.

Maintains an accurate and up to date orders tracking log to monitor outstanding, pending, and completed orders.

Follows up with physician offices to obtain timely signatures in accordance with regulatory, accreditation, and payer requirements.

Reviews orders for completeness, accuracy, and proper authentication prior to indexing in the electronic medical record.

Ensures orders are appropriately signed, dated, and filed to support billing, audits, and reimbursement.

Accurately indexes and routes finalized orders within the electronic medical record per Agency procedures.

Identifies missing or incomplete documentation that may result in billing holds and communicates issues to appropriate clinical or revenue cycle personnel.

Collaborates with clinical, billing, and authorization teams to resolve documentation related delays impacting billing and month end close.

Monitors outstanding orders and prioritizes follow up based on billing and compliance risk.

Provides reports and updates to leadership regarding outstanding orders, turnaround times, and trends.

Assists with audits, ADRs, and payer documentation requests by retrieving complete and compliant records.

Maintains complete confidentiality with personnel, patient, and financial information to which you are privileged.

Supports the Agency's customer service reputation by promoting and maintaining a responsive, knowledgeable, and professional approach to all internal and external contacts.

Performs other duties as assigned.

Commits to high ethical standards and complies with the Code of Conduct, state and federal regulations, accreditation standards, and policies and procedures; maintains confidentiality of patient and employee records and information; has a duty to report compliance concerns, significant legal risk questions, fraud, abuse, suspected or actual misconduct to management. Maintains complete confidentiality with personnel, patient, and financial information to which you are privileged.

Supports the Agency's customer service reputation by promoting and maintaining a responsive, knowledgeable, and accessible approach to all customer contacts.

Performs other duties as assigned.

KNOWLEDGE, SKILLS, ABILITIES:

Knowledge of medical terminology and physician order requirements.

Working knowledge of electronic medical record systems.

MINIMUM EDUCATION REQUIRED:

High School diploma or equivalent.

MINIMUM EXPERIENCE REQUIRED:

Minimum two years' experience in medical records, revenue cycle, or clinical documentation support within a home health or healthcare setting preferred.

MINIMUM LICENSURE/CERTIFICATION REQUIRED BY LAW:

N/A

ADDITIONAL QUALIFICATIONS:

Strong organizational skills with the ability to manage multiple priorities and deadlines.

Ability to independently solve problems and communicate effectively with clinical staff and physician offices.

Ability to sit for extended periods of time.

Regular attendance is a requirement of this position.

Must be able to read, write, and speak the English language.
