Job Overview
We are seeking a dedicated and professional Receptionist/Secretary to join our team. This role is crucial in ensuring smooth operations within our office. The ideal candidate will have excellent customer service skills, proficiency in phone systems, and a strong understanding of clerical duties. You will be the first point of contact for patients and visitors, providing exceptional service while maintaining confidentiality and adhering to HIPAA.
Responsibilities
Schedule, re-schedule and cancel appointments
Welcome and greet all patients, patient family members, interpreters, and pharmaceutical reps and their managers in person.
Provide patient forms to be filled out and check that they were complete.
Filling out and organizing paperwork
Manage incoming calls
Verify Insurance. Inquire about office deductibles to be paid at the time of office visit
Filling prescriptions
Check emails and respond to inquiries by patients and visitors in a courteous manner
Apply for Prior Authorizations for medications. Type and send Appeal letters for denied meds
Clean, sterilize, prepare EMG/Exam room, and prepare patients for examinations (taking vital signs)
Collect payments
Make deposits if manager is not available
Register new patients and update existing patient demographics
Keep manager informed of all requests for Legal IMEs, pharmaceutical talks, and speaker training inquiries
Prepare daily billing information for the billing company
Facilitate patient flow by notifying the provider of patients arrival, being aware of delays, and communicating with patients and other staff members
Typing Doctors letters, memos, and EMGs
Copying medical records, and create file charts
Experience
Previous experience as a receptionist or secretary in a hospital, medical, or dental office is preferred
Strong customer service skills with the ability to handle patient inquiries professionally
Familiarity with medical billing processes and documentation review is advantageous
Proficiency in using phone systems and basic office software applications
Excellent organizational skills and attention to detail are essential for this role
Speaking Spanish is advantageous
