Dermatology Center of Denton Front Office Medical Reception Position

Front Office duties:

1. Verify EACH patients insurance the day before their appointments

2. Have all patient documents ready for the next day (super bills, previous notes, etc)

3. Check in patients and put charts up in a timely manner after they check in

4. Answer calls as they come in and do not place calls on hold for a long time, if the desired person is not available, send call to the desired person's voicemail, or take a message with pts name, number (get from patient), and reason for call, then give it to the desired person

5. Scan all documents and place correctly in charts (ask someone if you do not know what folder or label to use on the document) correctly

6. When scanning pts insurance card and Driver's license ensure you are scanning the front and back of each card

7. Go through fax in box a few times daily

8. Ensure the waiting room is cleaned through the day, newspapers and magazines should not be on chairs of the floor, pick up when the happens

9. Call to confirm pts appointments TWO day in advance, and follow up the next day, put notes on appointment screen if message was left

10. Try to call pts BEFORE the end of the day, so they will have an options to call back to confirm or cancel before we close so we can fill the open spot

11. If you know the pt will need a referral make sure we have the referral or inform the pt on the phone that a referral is need and make note on appointment screen

12. When a light box pt checks in make sure they get put on the schedule and their super bill is put up right after they arrive

13. When a PDT pt checks in make sure they are put up in the PDT folder and at the top of the charts

14. When scheduling appointment make sure to ask all questions required to make appointment, including but not limited to insurance, race, ethnicity, and language spoken

15. Try to get pt to fill out the questionaire online if they cannot please have them come in 10-15 minutes before the appointment time to complete it in office

16. Make sure your shredding gets done daily (monthly shredding of scanned documents)

17. Check with office manager if they need anything done that you can do (we work as a team, and helping each other makes thing much smoother)

18. Before leaving at the end of the day check with others if there is anything needed of you before leaving

All other duties as assigned by clinical coordinator or practice administrator

Preferred skills and experience:

Exceptional customer service and phone etiquette

Basic computer skills and knowledge of Microsoft Office and electronic medical records preferred.

Must be able to work well with others and maintain professional decorum at all times.

The ability to maintain effective and organized systems to ensure timely patient flow

Grammar, spelling, and punctuation

Work Week Details:

The office is open Monday through Thursday 7am-4pm, and Friday 7am-12pm.

One hour is allotted for lunch Monday through Thursday between the hours of 12 and 1pm.

Educational Requirements and Age Restrictions:

High School diploma or GED equivalent is required for employment

Must be 18 years or older.
